If you email me

I hold your name, email address, organisation and whatever you choose to send me, so that I can reply and, if you become a client, do the work. The lawful basis is legitimate interests for an initial enquiry, and performance of a contract once we are working together.

Enquiry correspondence is deleted after 12 months if it does not lead to work. Client records are kept for six years after the engagement ends, which is the normal period for tax and professional-liability purposes.

Client material

Tender documents, policies, staffing information and financial detail you send me are covered by a mutual non-disclosure agreement signed before you send anything. They are not shared with anyone, are never used to inform work for another bidder, and are deleted on request once an engagement ends.

Email is provided by Fastmail, whose servers are in the EU. Files are stored on encrypted devices under my control.

Your rights

You can ask me for a copy of the personal data I hold about you, ask me to correct or delete it, or object to my holding it. Email seb@meritandmethod.co.uk and I will respond within one month.

If you are unhappy with how I have handled your data you can complain to the Information Commissioner's Office at ico.org.uk.

Cold outreach

I sometimes email organisations directly about contracts they may be bidding for, using contact details published by the organisation itself or in public procurement records. If you would rather I did not, reply and say so. That is the end of it, and no further contact will follow.
